Organizing and Securing Your Travel Documents
Create a centralized digital cloud backup of all vital documents and store physical copies in a separate, waterproof folder from your originals. Keep your passport on your person at all times, but leave secondary identification in a hotel safe if available.
- Digitize everything. Scan your passport, visa, flight itinerary, insurance policy, and vaccination records. Store these in an encrypted cloud service like Proton Drive or a password-protected folder in your primary email account.
- Print physical backups. Keep two sets of color copies of your passport data page and visas. Place one set in your checked luggage and leave the second set with a trusted contact back home.
- Use a dedicated document wallet. Purchase a slim, RFID-blocking travel wallet. Use it to store your passport, current boarding pass, and printed insurance details. Do not use this for daily currency or credit cards to prevent accidental loss.
- Emergency card. Write down the contact numbers for your bank, insurance provider, and local embassy on a small piece of paper. Keep this in your wallet separate from your passport.
- Should I carry my passport everywhere?
- Yes, unless local law prohibits it or the environment is high-risk for theft. In most countries, it is your only valid proof of identity and legal status.
- What if I lose my passport?
- Having scanned copies in your email makes the emergency replacement process at an embassy significantly faster. Keep a list of your passport number and issue date handy.
